Calendar events
Goal
Plan and share time on personal and organization calendars — create events, invite guests, set reminders and recurrence, and respond to invitations.
Who it is for
Anyone with calendar.view. Creating and editing events needs calendar.manage. Sharing organization calendars and some shared writes need calendar.manage_shared. Tenant-wide options need calendar.admin.
Preconditions
- Module calendar enabled (default-granted optional module).
- At least one writable calendar (personal My calendar is provisioned for you; organization calendars may be shared to you).
- Optional: Calendar setup (admin) for working hours, booking buffers, event types, and reminder presets.
Steps
- Open Overview → Calendar.
- Switch Month / Week / Day / Agenda, use Today, and toggle calendars in the sidebar (My calendars, Organization calendars, Shared with me).
- Choose New event (or click a slot) to open the event dialog:
- Add title, Calendar, All day, Starts / Ends.
- Optional: Location, Description, Color, Visibility (default / public / private), Show as (busy / free).
- Repeat presets for recurring series; Guests; Reminders (minutes before / presets).
- Save. For recurring edits, choose scope: this occurrence, this and future, or all.
- Open an event to edit, delete, or RSVP (Yes / Maybe / No) when you are a guest.
- Use Share on a calendar you can manage to grant access. Admins open Calendar setup for hours, buffers, event types, and reminder presets.
Result
Events appear on subscribed calendars for users with access. Statuses include confirmed / tentative / cancelled; attendees track RSVP. Recurring series expand to occurrences on read. Linked CRM activities or project tasks may show as source links when present.
Hard stops
- No write permission on the target calendar → blocked.
- Block events outside working hours or Enforce booking buffers in setup → conflict / outside-hours errors.
- Query window larger than allowed (~186 days) → rejected.
- Unsupported recurrence frequency or invalid RSVP (not an attendee) → domain error.
- Personal calendars are only for the owning user; role-owned calendars cannot be created as personal.
- Live Google/Outlook sync is not shipped — setup External sync readiness stores intent only.
