Find sales invoices

Goal

Find invoices that need action and manage receivables from one list.

Access

Enable the sales module and grant sales.view. Creating or editing requires sales.manage, posting requires sales.post, and customer email requires sales.send. Receipt and recurring-schedule actions use their own permissions.

Find and organize invoices

  1. Open Trade → Sales Invoices. Choose All invoices, My work, Draft, Awaiting approval, Ready to send, Awaiting payment, Overdue, Paid, or Reversed.
  2. Open Filters to narrow customer, collection owner, sales representative, branch, currency, invoice/due dates, balance, aging, delivery, or follow-up. Choose Apply filters; editing a filter alone does not change the results.
  3. Read the summary cards for the entire filtered result. Amounts stay separated by currency. The default columns show number, customer, total, balance, delivery, status, and due date; use Columns for payment status, last sent, follow-up, owner, and other fields.
  4. Choose Save view to save the applied filters. Personal views belong to you; team views require management permission. You can update a modified view, set a default, or delete an owned view. If offered, import old views from this browser. Views are scoped to the current user and tenant.
  5. Open a row for a preview, then open the full invoice. Back to list returns to the list context carried by that link.

Work with selected invoices

Select rows for PDF downloads or a CSV of those selected invoices. Bulk posting and draft deletion show each result; retry failures after resolving their cause. Invoice email opens recipient/message previews before queuing. Successful queued rows are not queued again on retry. Internal follow-up tasks are separate from customer email.

Follow up

The detail page separates Overview, Payments and collections, Communication, and Activity and files. Record a collection owner, promise-to-pay date, and internal note; pause scheduled customer payment reminders when needed. Preview a customer reminder and optionally schedule it. Times in the scheduling input use your device timezone.

A queued email awaits processing. A sending or uncertain outcome needs a delivery check before another send; it is not retried automatically. A paused reminder waits; a future payment promise postpones it. Payment, invoice eligibility, and sender permissions are checked again before delivery.
