Create a sales invoice
Goal
Create a reviewable draft, then post it when it is ready.
Before you start
You need the sales module and sales.manage, an active customer, appropriate income accounts, and any items, taxes, warehouses, and numbering setup needed by the invoice.
Steps
- Choose New Sales Invoice and select the customer. The form fills available billing-address and payment-term defaults. Confirm the currency and exchange rate; customer selection does not automatically switch currency.
- Confirm the invoice date and payment terms. Zero net days means due on the invoice date. Choose a numbering sequence or enter a permitted manual number.
- Add lines with an item or description, income account, quantity, net unit price, tax, and warehouse when required. Paste spreadsheet rows accepts tab-separated description, quantity, and unit price (up to 200 rows). Review and assign items, accounts, tax, and warehouses after pasting. Invalid input must be corrected before any pasted rows are added.
- Expand readiness guidance for checks; expand sales assignment or presentation/additional charges when needed. Review totals and any credit, stock, or price warnings.
- Choose Save draft, Save draft and new, or Review and post. Ctrl/⌘ S saves; Ctrl/⌘ Shift S saves and opens a new draft. Posting confirms its accounting and stock effects and still enforces approvals and open periods.
Recovery and validation
An unsubmitted new invoice can be recovered in the same browser tab for up to seven days. Use the recovery banner to restore or discard it. Recovery is scoped to the signed-in user and tenant and is cleared after saving to the server; it is not a replacement for saving a draft. Review highlighted validation errors before retrying. If posting fails after a successful save, the draft remains available for correction.
