Fulfill and invoice a sales order

Goal

Deliver and/or invoice from an order.

Steps

  1. Open the order.
  2. If remaining qty to fulfill: use Deliver (creates delivery note; respects partial-fulfillment settings).
  3. To bill selected quantities, choose Invoice, check the order/customer and unit prices, then Create draft invoice. Set a line to zero to exclude it. Convert creates a draft for all quantities not yet invoiced.
  4. The Invoice action opens the new draft. Review final prices, taxes and totals, then post separately. Draft creation does not change stock or invoiced progress. Posting rejects quantities already billed by another invoice.
  5. Cancel only if still eligible (no fulfilled/invoiced quantities).

Send a copy

Choose Send document in Customer operations. Review the prefilled customer email, subject and message; enter an email if the customer has none. Choose additional customer contacts under CC customer contacts; they start unchecked. Contacts without valid emails and the main recipient cannot be selected. Review the To/CC summary before sending. The final CC list is recorded in delivery history. Group emails do not attribute opens to a particular recipient. The document PDF is attached automatically. Restore defaults replaces edits with the current customer and document defaults. Sending requires sales.send; edited values apply only to this email. Failed delivery keeps your edits for retry.

Revise an order

Choose Create revision in Customer operations for the latest open order before any fulfillment, invoicing, or linked documents exist. Enter a revision reason and select a cancellation reason when required by your company. Creating the revision immediately cancels the previous version and opens a new numbered draft. Review, edit, and approve the draft separately; it is not sent automatically. If creation fails, the original remains unchanged.

Previous versions remain available for history with Open latest revision. They cannot be delivered, invoiced, or revised again. Revision drafts cannot be deleted; cancel them if abandoned. Cancelling a revision does not reactivate an earlier version. Orders with linked draft invoices or completed activity must be resolved through the existing cancellation, return, or credit flows instead of copied.

Open Revision history to browse versions, newest first. Select an order number for an inline preview, or Open for the full order. Compare with latest highlights changed terms, amounts, quantities, and prices; other changed settings are flagged for preview. Lines are compared by line number, so reordering may appear as changes.

Choose Restore as new draft on a historical version, enter a reason, and select a cancellation reason if required. The selected content becomes the next numbered draft and the current open version is cancelled atomically. A cancelled latest version can also be restored if the whole chain has no fulfillment, invoicing, or linked documents. Historical records remain unchanged. Review prices, taxes, and approval requirements before processing the new draft. The latest eligible version also offers Edit and Cancel.

Hard stops
